Belgium Business Visa

This is a basic visa paperwork checklist based on the assigned embassy/visa office. You can add extra supporting papers dependent on your nature and purpose of travel/visa category to ensure you’re getting a visa. 1) Travel document:

Original passport having a minimum six-month validity beyond the anticipated departure date and at least two blank pages for visa stamping.

1. a) A copy of any prior passports or visas that have been issued.
2. b) Include all of your previous passports (if any).
3. c) If a visa request is denied, the information of the original letter sent by the country’s authorities are preferable.

2) Belgium Visa Application Form: The applicant must complete and sign the visa application form.

3) Photo requirements: two recent passport-size photos with a matt or semi-matt quality, 60-80% facial coverage, white backdrop, and no border (Size: 35mm x 45mm)

Please note that the photograph must be less than 3 months old, scanned/stapled, and not have been used in any prior visas.

4) Covering-Letter: A covering letter from the application that includes the applicant’s name, designation, passport number, purpose, and a statement about who will be liable for the whole cost of the trip, including travel, lodging, and expenses. Addressed to: The Visa Officer, Belgian Embassy in Dhaka.

5) Invitation Letter: Include the date, length, and purpose of your visit, as well as proof of a familial connection to the host and information about your affiliation with the person or organization who invited you. (If applicable)

6) Forwarding-Letter: a) On the employer’s letterhead, a forwarding letter/NOC from the applicant’s company authority specifying the applicant’s name, designation, passport number, purpose, and duration of visit.

1. b) A letter from the educational institution requesting a visa or a student card/proof of school enrolment (if student)

7) Proof of Occupation: a) If the applicant is a first-time traveler or a proprietor, a company registration certificate (original notarized English translation and photocopy of the original).

1. b) Copies of the office ID card and visitor cards

8) Financials: a) Personal Bank Statement for the last six months, clearly stating the bank’s name and phone number.

1. c) Pay stub for the previous six months. (If applicable)

9) Airline and Hotel Reservations: Ticket Itinerary and Hotel Reservation

10) Documents pertaining to the applicant’s civil status:

Marriage certification (e.g. “Nika Namah” for Muslims or wedding act for Hindus, both translated) for married applicants

11) Travel Insurance: Travel insurance must cover the whole Schengen zone. Up to 30,000 Euros in medical fees, hospitalization, and repatriation charges must be covered by the insurer. The insurance must covering the full duration of their stay in the Schengen region.
